How it works
Build it once. Keep it running monthly.
First, we organize how your practice works. Then, we help keep it working. I configure the agreed workflows, document responsibilities, and train your team. After implementation, monthly reviews and targeted updates help your practice stay organized as priorities change.
Phase A · Implementation
Practice Operations Setup — about four weeks, $2,500
A defined implementation project for a practice using an existing CRM. Begins once access and approvals are secured.
-
Process review
We map how prospect follow-up, new business, and client service actually work today — where things stall, who owns what, and what your CRM currently captures versus what it should.
-
Workflow configuration
Up to three agreed workflows get built inside your CRM: stages, next-action rules, deadlines, ownership, task templates, and a pipeline dashboard. We use your existing approved tools — no new software to buy.
-
Documentation & training
Responsibility docs, standard procedures, and hands-on training for you and your assistant or team — so the system doesn't depend on any one person's memory.
-
Live test & sign-off
We run representative real work through the system together. The acceptance test is simple: your team can use the system — not merely that it was built.
Phase B · Ongoing
Monthly Operations Support — $750/mo, ~4 hrs/month
Three visible outputs every month. This is what the retainer buys — concrete, reviewable, and tied to how the practice actually runs.
Monthly scorecard
Overdue follow-ups, opportunities without next actions, aging onboarding items, and upcoming client-service obligations — the exceptions that need a decision, not a data dump.
Review meeting
A 45–60 minute session with you and your assistant: discuss the exceptions, agree on priorities, assign responsibilities with dates.
Limited upkeep
Refine an existing workflow, update a template, resolve a process issue, or run a short training refresher — keeping the system aligned as the practice changes.
What monthly support is not: daily data entry, prospect calling, appointment setting, assistant recruiting, or major new implementations. Your team remains responsible for completing its daily tasks. Some clients eventually need only quarterly reviews — that's a legitimate outcome, and the model supports it.
Ground rules
How engagements are run
You own your system
Your data stays in your CRM, under your accounts, with only the permissions needed. The workflows are documented so your team can run them without me. Renewal should be earned by continuing value — reporting, adjustments, oversight — not by dependency.
Compliance comes first
Access, configuration changes, and data handling are confirmed with the appropriate compliance contact before work begins. For advisory firms, service-provider access follows the firm's own oversight requirements.
Get started
Start with a working session, not a sales call.
Bring one real example — a stalled opportunity, a messy onboarding, a handoff that went sideways — and get a straight answer.
