Services
Practice Operations Setup & Support
For established insurance and advisory practices. I help you organize prospect follow-up, new-business workflows, and team responsibilities inside the systems you already use — then provide ongoing reviews and adjustments to keep the practice organized.
Scope
The three workflows
Configured for your practice type — not generic templates dropped in and abandoned.
Prospect follow-up
Opportunity stages, next actions, deadlines, ownership, and follow-up rules. You see at a glance which opportunities need attention this week — and exactly who owns each one. Nothing ages silently.
New business & onboarding
Required steps, outstanding items, handoffs, and completion status. For insurance practices: application requirements and underwriting status tracking. For RIAs: agreements, account opening, transfers, and onboarding tasks — the same way every time.
Existing-client service
Review schedules, service requests, task assignments, and reminders. Full visibility into what's due, who's responsible, and what your clients are waiting on — before they have to ask.
Pricing
One offer. Two phases.
Software licenses stay yours — you own the system, the documentation, and the data in it.
Practice Operations Setup
$2,500
one-time
- A defined implementation for one practice using one existing CRM
- Up to three agreed workflows configured in your CRM
- Task templates, pipeline dashboard, documented responsibilities
- Team training
Timing & scope: approximately four weeks after access and approvals are secured. Additional work is quoted separately.
Monthly Operations Support
$750/mo
pilot pricing · three-month initial term, beginning after implementation
- Up to four total service hours each month
- Preparation of your operations scorecard: overdue follow-ups, opportunities without next actions, aging onboarding items, upcoming service obligations
- One 45–60 minute review with you and your assistant — priorities, exceptions, assignments
- Agreed workflow updates or training
How the four hours work: scorecard preparation, the review meeting itself, and any updates all count toward the four hours. Not included: daily data entry, prospect calling, appointment setting, assistant recruiting, major new implementations. Your team stays responsible for its daily tasks — I keep the system they work in honest.
Fit
Who this is for — and who it isn't
Good fit
- Established practice with real prospect and client volume
- Follow-up and coordination are inconsistent — you feel the friction
- An assistant or team member who will operate the system day to day
- An owner willing to enforce the process once it's built
Not a fit
- You need new leads generated — this organizes the business you have; it doesn't create prospects
- No one on the team will maintain records or complete tasks
- You're looking for someone to run the practice for you day to day
